We all know the feeling. You want to accomplish something but you find yourself putting it off. You tell yourself you’ll do it later, maybe tomorrow or even the next day, but somehow creating the focus and taking action feels like an enormous mountain to climb. If this sounds familiar, then you’re definitely not alone–you may have procrastination on your hands.

Procrastination is a natural human behavior, and leaders in every industry face it in their own way. Whether it’s dealing with difficult decisions, taking on a new project, or just finding motivation in general, procrastination can derail our plans for success quickly.

Thankfully, there are strategies that can help us stay on track and be productive no matter what we face. In this blog post, I’ll share some of my favorite strategies for overcoming procrastination as a leader and boosting productivity along the way.

What Is Procrastination, and Why Do We Procrastinate?

You may already know what procrastination is, but what causes it? Procrastination is the act of delaying or not doing something which leads to a lack of productivity. It can lead to stress, anxiety, and guilt. The reasons that we procrastinate may vary from person to person, but ultimately it boils down to three main factors: lack of time management skills, lack of motivation and/or fear.

Time management skills are important because they help to manage tasks in an organized way. Without proper time management skills, it’s easy to get overwhelmed with all the tasks we have to do, leading us to put them off and procrastinate.

Lack of motivation also plays a role in procrastination. When something is difficult or unpleasant we tend to put it off until later because we don’t feel motivated enough to complete it. Fear can also be a contributing factor as well — we may be afraid of failure or criticism if we don’t do the task correctly, so we push it off.

How to Build Effective Time Management Habits

Do you ever find yourself staring at a project or task that you just can’t seem to get started on? You’re not alone — procrastination is one of the most common sources of stress for leaders. But luckily, there are effective techniques to build better time management habits.

These include:

  • Identifying your motivations and setting realistic goals.
  • Breaking tasks down into small, achievable steps.
  • Allocating specific timeslots for each task on your agenda.
  • Creating a ‘stop doing list’ to address distractions and refocus energy into higher priority tasks.
  • Estimating how much time each task should take to complete, and setting boundaries around starting and finishing the task.
  • Removing any physical or mental roadblocks that may be in the way of completion.

By creating new habits over time, you can learn how to focus on one task at a time with attention and dedication until it’s complete — eventually becoming more productive in the long run.

Strategies for Setting and Achieving Goals

Leaders need to set goals that are realistic and achievable. It can be helpful to break a goal down into smaller parts. When you have a clear picture of the steps needed, it’s easier to stay motivated and make progress on your goal.

Understand Your Motivation

It’s important to understand why you are setting a goal, so you can stay motivated during the process. What do you want to achieve by setting this goal? This may be money, recognition or something else — once you know why you’re doing something, it is easier to keep going when things get tough.

Make A Plan

Having a plan for how you will reach your goal is key. Make sure that your plan outlines all of the steps necessary so there are no surprises. It’s important to set deadlines for yourself and hold yourself accountable for meeting them, or else your motivation will suffer. You should also keep track of your progress and celebrate small wins along the way.

Find Support

No one has to do this alone! There are plenty of resources available that can help leaders stay motivated and achieve their goals, like support groups or personal coaches. It’s also helpful to have someone that you can hold accountable for progress — having someone check in with you regularly will help keep you on track!

How to Create an Environment of Accountability

You likely already know that accountability helps to prevent procrastination, but how do you create an environment of accountability in the workplace? It’s all about setting expectations, making sure that everyone understands those expectations, and creating a system of rewards and consequences.

Set expectations

It starts with the leaders in the organization: they need to clearly articulate their expectations for employees. This should include deadlines for tasks and projects, as well as what metrics are used to measure performance and progress.

Explain expectations

Once the leader has set their expectations, it is important to make sure that everyone has understood them. The best way to do this is to have a face-to-face meeting with employees or teams so that any questions can be discussed and clarified before getting started on a project.

Establish rewards and consequences

Finally, it’s important to make sure there are rewards for making progress and meeting deadlines, as well as consequences for not meeting those deadlines or expectations. This ensures that everyone is taking their commitments seriously and holding themselves accountable. It also helps create an atmosphere of collaboration and support in the workplace since everybody knows what is expected of them.

Tips for Maximizing Focus and Motivation

It can be difficult to stay focused and motivated, but there are a few tips that can help you maximize focus and motivation.

Set Clear Goals

When you have a clear, achievable goal in mind the motivation to reach it is increased significantly. By taking the time to set your goals, you will be able to create an action plan that will help you stay on track and avoid procrastination.

Break Up Your Tasks

Breaking up larger tasks into smaller components can help make them more manageable, which can also help boost motivation. When breaking up tasks, try focusing on one task at a time as that can be more time efficient than trying to do too many things at once.

Reward Yourself

Rewarding yourself for doing well on a task is an excellent way to motivate yourself. This reward could be something small like taking a break or treating yourself to something nice after completing a project. Rewarding yourself for completed tasks will help keep your motivation up and make it easier to stay focused on the bigger picture.

Taking the time to set goals, breaking up tasks into smaller components, and rewarding yourself for accomplishments are all great ways of staying motivated and maximizing focus. Implementing these tips into your daily routine will help increase your productivity while reducing distractions and procrastination significantly.

When you do this well in advance, it leaves plenty of time for any necessary revisions or improvements that may be needed before submitting your work.

In sum, procrastination is a productivity killer, but leaders can take action to overcome it.
